Transaction management is a tedious process and one that is very, very important to maintain accurately. It is important to note that Chime is not currently intended to be a standalone transaction management application. This means that Chime does not maintain tools to calculate complicated distributions or to obtain signed documents from clients. Instead, the feature set available in Chime is intended for reporting purposes only.
Adding a Transaction
*It is important to note that each transaction must live on a lead profile. This means that a transaction must be associated with a specific lead in your database. There are two options to add transactions:
(1) Add via Lead Profile Page
Lead Profile > Transactions & Docs > Transactions
If no transaction has been added previously A transaction can be added from this section by clicking on the "+" button or on the "Click here" hyperlink as seen in the screenshot below. If a transaction has already been added, additional transactions can be included by clicking on the "+" button in the top-right of the Transactions section.
The following are the fields that can be used for each transaction:
Additional debits/credits can also be recorded per transaction. This is where each of them is recorded:
After clicking "Save," this transaction will stay associated with this lead profile for future reference.
(2) Add via MLS Transactions
This option is accessed directly from the Transaction Management section. Once on this section, click on "___ unclaimed MLS transactions." If no transactions are available, it will say "no matched MLS transactions" instead.
*These transactions will only appear if the the MLS Agent ID is added for the corresponding MLSs as outlined in this article: Complete your Chime Profile.
After clicking on "___ unclaimed MLS transactions," a list will appear and each transaction can be (a) claimed or (b) deleted.
Claiming a transaction will allow for you to either "Create New Transaction" or "Match to Existing Transaction" with fields that are identical to what was outlined above when adding a transaction from the lead profile page.
A summary of all transactions can be located by navigating to Transaction Management on the main navigation menu. On this page, all the data from each individual transaction is summarized. Users can also add additional transactions directly from this page. Admin users will see all team transactions. Those without admin access will only see transactions associated with their name.
The following can be done on this page:
- "+ Add" to add a new transaction directly from this apge
- Filter by transaction type (Purchase, Listings for Sale, Other)
- Filter by transaction stage (Active, Under Contract, Pending, Closed, Cancelled)
- Sort by Volume, GCI, Team Revenue, or Agent Revenue
- Filter by leads associated with a specific user
- Include private leads in reported transactions
- Select a specific lead source to display
- Define a specific "Closed Date Range"
- Columns exist for the following:
- Property Address/Transaction Name
- Agent (Assigned To)
- Expected Close / Closed Date
- Home Price
- Team Revenue
- Agent Revenue
For reporting purposes, it is important to note that all transactions for a lead will be associated with the user listed in the "Agent" slot of the "Assigned To" section. Currently, there is no option to associate transactions to anyone additional to the "Agent" user.
